By joining Burntwood Be A Friend (BBAF) you:
– give permission for BBAF to process your data for membership. You understand that your information is kept secure and only accessed by those processing it at BBAF. You understand that anonymised membership data is used to analyse general BBAF usage to apply for funding so that we can continue to operate our services and groups. This also helps us to direct support where needed.
– understand that any children brought to a BBAF activity are always the sole responsibility of the participating parents/carers and are not the responsibility of BBAF staff & volunteers

PRIVACY NOTICE
BBAF takes our responsibilities around data protection seriously and this privacy notice explains how we keep your data safe and how we comply with GDPR (General Data Protection Regulation).
How we use your information We do not buy or sell any personal data. Any information you provide as a member of BBAF, is used by BBAF to provide services to you.
Participant/Volunteer Forms When you join BBAF as a participant or volunteer, you form is processed by our GDPR compliant staff and is uploaded digitally to our secure data system. It is only accessible to our staff via the Upshot system. Information about general statistics relating to BBAF participation/volunteering is used to apply for funding to provide services. For example, we may let grant providers know how many participants are using BBAF services/activities. However, this is all anonymised statistics. BBAF uses a secure data monitoring software package called Upshot which is secure and complies with GDPR. More details can be found here: http://www.upshot.org.uk/legal/
Registers For activities that have a session register, your group lead/staff member will have access to the information you provide on the register in-case they need to contact you in an emergency or if there is a cancellation. The registers are processed electronically, and the information provided is stored on the Upshot system. If we host activities that involve project partners, some data pertinent to those activities may be shared with the project partner if required for evaluation and monitoring purposes.
Email Addresses If you have provided an email address, we may contact you infrequently to let you know about changes to the BBAF timetable, special events coming up and new groups/activities/events. BBAF uses standard email.
Other Contact We may need to use your details in case of emergency or where we are required to share your information by law.
How to opt out of all communications from us You can opt out of communication from us at any time. Just email info@burntwoodbeafriend.org.uk How to request and delete your information You can email info@burntwoodbeafriend.org.uk to ask what information we hold about you or to request we delete information held about you.
How long we store information Registration form details (including photo/video consent forms) and register information will be held for 5 years after your last involvement with BBAF. After which, it will be anonymised/archived/erased and new registration required. Community Store Membership lasts a year and upon renewal, we will ask you to check that your details are up to date each year. Incident/accident forms are kept for 3 years as required by law or kept permanently if the record relates to a hazardous substance.
Who is responsible All BBAF volunteers and staff are required to comply with our data protection policy. The board of Trustees has overall responsibility for complying and adhering to GDPR.
